A system in an embodiment includes an image forming apparatus, an erasing apparatus, a first apparatus, and a display unit. The image forming apparatus forms an image on a sheet using a decolorable color material. The erasing apparatus decolorizes an image. The first apparatus computes, from a reduction in the number of sheets achieved by a setting for image formation in the image forming apparatus, the amount of a reduction in environmental burdens achieved by use of the image forming apparatus and computes, from the number of sheets erased by the erasing apparatus, the amount of a reduction in environmental burdens achieved by use of the erasing apparatus. The display unit simultaneously displays the amount of the reduction in environmental burdens achieved by the image forming apparatus and the amount of the reduction in environmental burdens achieved by the erasing apparatus.

An image forming device is an image forming device in a destination setting system, and the destination setting system includes the image forming device and a wireless communication device used by a user who uses the image forming device. The image forming device has a communication unit and a control unit. The disclosure discloses methods and systems for securing documents submitted for scanning at a device such as a multi-function device. The method includes scanning a document received from a user. A user interface is provided to the user to define a document type and to further define an access level for accessing the scanned document. Then, scanned data is generated. The scanned data is encoded based on a unique identity of the device and based on the access level such that the scanned data is accessible by the user and/or by one or more other users according to the defined access level. Finally, the scanned document is generated. Later when the scanned document is accessed by any user, details of the user accessing the scanned document is matched with details added in the encoded scanned data. Based on matching, the user is allowed to access the scanned document.

According to an embodiment, a server apparatus includes a storage unit and a control unit. The storage unit correlates print data to a user ID of which a user registers the print data, and stores the correlated print data. The control unit performs controlling such that when the control unit receives a preparation instruction of a sharing access code from a display operating unit, the control unit correlates the sharing access code to a print data designated among the print data registered by the user, and causes the correlated result to be stored in the storage unit. When the control unit receives designation of the sharing access code from the display operating unit, the control unit reads out information relating to the print data correlated to the sharing access code from the storage unit, and causes the read-out information to be displayed on the display operating unit.

Example apparatus and methods are disclosed for monitoring and controlling networked printing devices. A computing device can capture a printing device identifier of a printing device, where the printing device can be communicatively coupled to at least the computing device via a local network. The computing device can send a request to unlock the printing device. The computing device can receive an indication that the printing device is unlocked. After receiving the indication that the printing device is unlocked, the computing device can send a job request requesting execution of a job on the printing device, where the job request can include identification information associated with the computing device and the printing device identifier. The computing device can send job accounting information related to usage of the printing device related at least to the executed job request.

Methods and systems are described for receiving and distributing incoming fax transmissions. In one embodiment, an electronic device receives, over a computer network, an electronic message that includes an electronic document and a fax telephone number of an organization of a plurality of organizations, wherein the fax telephone number is) permanently associated with the organization and 2) uniquely identifies the organization from other organizations in the plurality of other organizations. The device determines a destination address of the organization based on the fax telephone number and transmits the electronic document and the fax telephone number to the destination address.

An image forming apparatus includes a user interface, circuitry, and an image forming device. The user interface receives, from an applicant, an instruction for selecting a desired application form having an entry field in which personal information is to be entered, and receives an input of individual authentication information of the applicant. The circuitry unlocks an IC card based upon the individual authentication information of the applicant to acquire personal information of the applicant from the IC card, and generates an application form for output from a template of the selected application form and the personal information acquired from the IC card. The image forming device outputs the generated application form.
