A printed document client receives a first print stream for a soft copy document, determines whether one or more conditions for adding a graphical symbol to the printed document are satisfied, and when the one or more conditions for adding the graphical symbol to the printed document are satisfied, adds the graphical symbol to the first print stream to generate a second print stream that includes the graphical symbol, and outputs the second print stream to a printer so the graphical symbol is printed on the printed document corresponding to the soft copy document. The printed document can be a hard copy document or a soft copy document generated from the second print stream.

An information processing apparatus includes: a storage device that stores installation area information indicating an area where an image forming apparatus is installed; a communication device; and a control device. The control device functions as a controller that, in accordance with the number of persons present per area obtainable based on detection information acquired by an entry and exit detecting device, determines, per area indicated by the installation area information, a state of the image forming apparatus installed in each area, and transmits a command notice for changing the state of the image forming apparatus into the determined state, via the communication device, to the image forming apparatus installed in each of the areas. Provided is an image forming system capable of updating internal data of an external device according to an instruction from a server. An app-installing unit installs an application for updating internal data of card reader in an image forming apparatus. An internal-data-updating unit causes the image forming apparatus to execute the application installed by the app-installing unit. An app-acquiring unit acquires the application from the server according to an instruction from the server. An app-executing unit executes the app acquired by the app-acquiring unit and updates the external device to the internal data. As a result, the internal data of the card reader is updated.

An example uniform resource locator (URL) information providing method includes obtaining a text from a document including location information and identifying the location information, transmitting an original URL corresponding to the identified location information to an external apparatus and receiving a shortened URL corresponding to the original URL, generating an optical recognition code corresponding to the received shortened URL and obtaining information related to a content provided from the original URL from the external apparatus based on the original URL, changing the document based on the shortened URL, the optical recognition code, and the information related to the content provided from the original URL, and generating the changed document as page description language data.
